Job Title:             Office Manager/Receptionist

Location:             Toronto

The Role

The successful candidate will be responsible for managing the day-to-day operations of a small office as well as specific projects as they arise. This is an excellent opportunity for a person who likes to take ownership of their work role and responsibilities within a dynamic work environment.  This position calls for a well-organized person who enjoys multi-tasking.  Reporting to the CEO you will provide outstanding internal and external service and support, promoting a positive and professional company image.  The successful candidate should enjoy working in a dynamic work environment with changing demands always promoting a positive and professional company image.

Key Responsibilities

Office Management & Reception duties

  • Responsible for day to day operations of the office
  • Managing administrative correspondence related to executive staff, the company and the overall administration of the office
  • Developing and implementing administrative procedures and processes
  • Courier and Mail distribution, both internally and externally
  • Manage and purchase office & kitchen supplies & snacks
  • Reception duties
  • Liaising with and managing external suppliers
  • Determining of office equipment needs, coordinating service installations and on-going office maintenance requirements including photocopier, printer, fax machine, postage meter, coffee machine etc.
  • Travel arrangements for office staff
  • Boardroom bookings for office
  • Couriers & mail distribution
  • Ad hoc administrative tasks and special projects as required.

Executive Assistant duties

Provide administrative assistance to CEO & President, including:

  • Assist with meeting coordination, assist with meeting package preparation, catering, & presentation support
  • Preparation of board meeting packages
  • Prepare, proofread and edit written correspondence
  • Travel booking, coordination and scheduling
  • Document filing, organizing and tracking

Finance support duties

  • Wire payments
  • Visa statement administration
  • Coordination with remote locations for AP and AR related functions

Requirements and Experience

Qualifications

  • Education in office administration or related discipline an asset
  • Minimum Three Years Experience In An Administrative Role with a proven record of success
  • Advanced proficiency in Microsoft Office
  • Willingness to roll up your sleeves to get the job done!

The Role

We are looking for an Account Manager with experience in the IT and online marketing industries to join our client services team. You will be responsible for the overall ownership and accountability of the day-to-day relationship with your assigned accounts. This includes revenue generation, administrative tasks, as well as interfacing with PMO, strategists, consultants and finance to ensure you accounts are receiving exemplary service levels.

Experience

  • 5+ years of solution and consultative selling within the IT and online marketing sector
  • At least 2 years within an agency environment
  • Experience working with Microsoft an asset

  • You have a history of managing and growing a $2 million dollar account portfolio
  • You have an ability to create strong relationships and alliances with your clients
  • You have a strong network with technology and marketing executives
  • You have a keen understanding of technology and its business applications
